This page explains what personal information the North Bengal Amateur Radio Society collects through nbars.in, why we collect it, and what you can ask us to do about it. We have kept it short and specific rather than filling it with legal padding.

Who we are

North Bengal Amateur Radio Society (NBARS), a society for amateur radio operators and learners in North Bengal. For anything in this policy, write to [email protected].

What we collect

If you become a member

• Your name
• Your email address
• Your phone number, if you give it to us
• Your membership record: what you paid, the date you paid, when your membership expires, and any note an official adds about your membership
• A username and password, so you can log in and check your own status

We collect this to create your membership and to keep track of it. That is the only reason. We do not sell it, we do not rent it, and we do not use it for advertising.

When you visit the website

• Your IP address
• Basic technical details your browser sends, such as the browser and device type
• Which page you asked for, and when

This is recorded in our server logs. We use it to keep the site running, to notice and block attacks or abuse, and to investigate problems. We do not try to work out who you are from it.

Members under 18

The ASOC examination can be attempted from the age of 12, so some of our members are children.

If you are under 18, a parent or legal guardian must agree before we hold your details. We ask for that agreement when you join, and we may contact your parent or guardian to confirm it. If we cannot confirm it, we will not keep the membership record.

For members under 18 we do no tracking, no profiling, and no behavioural monitoring, and we never show them advertising. A parent or guardian can ask to see, correct, or delete their child's details at any time by writing to [email protected].

Why we are allowed to hold it

We hold your membership details because you asked to join and gave us your consent. We keep server logs because we need them to keep the website secure and working.

You can withdraw your consent at any time by writing to us. If you do, we will delete your membership record.

How long we keep it

• Membership details: for as long as you are a member, and for a reasonable period after that in case you renew. If you ask us to delete them, we delete them.
• Server logs: about 14 days, after which they are deleted automatically.

Who else sees your information

We do not sell your data and we do not hand it to anyone for marketing. Your membership details stay on our own server and are not sent to any outside company.

Some technical services do handle your connection when you load a page, and they can see your IP address as a result:

• Cloudflare, which sits in front of this website to make it faster and to absorb attacks. It also gives us basic visitor counts.
• Google Fonts, cdnjs and the Tailwind CDN, which supply the typefaces and code the pages use. Your browser fetches these files directly from them.

These services see the request your browser makes. They do not receive your membership record.

Cookies

We set one cookie, and only once you log in to the membership area: it is what keeps you logged in. It is not used to follow you around other websites. There are no advertising cookies on this site.

How we protect it

The website is served only over an encrypted HTTPS connection. Membership records sit on our own server, and the register that holds them is behind a password held by society officials. No system is perfectly secure, but we keep the number of people and services with access as small as we can.

Your rights

Under the Digital Personal Data Protection Act, 2023, you can ask us to:

• tell you what personal data we hold about you
• correct anything that is wrong, incomplete, or out of date
• delete your personal data
• withdraw consent you gave us earlier
• act through someone you nominate, if you are unable to act yourself

Write to [email protected] and we will deal with your request. If you are not satisfied with how we handle it, you may take the matter to the Data Protection Board of India.

Grievances

If something about the way we handle your information worries you, please write to [email protected]. We would much rather hear about it and fix it.

Changes to this policy

If we change how we handle personal data, we will update this page and change the date at the top.
